The official language of the conference is English (no translation facilities will be provided).

Conference App
The conference app “ECOC2018” will be available to download for Apple and Android devices. The app contains useful general information, Technical Programme, my schedule and much more. Once downloaded, information is available in the app offline.

Wi-Fi 
There is a free Wi-Fi in the conference venue called “ECOC2018”, password: Roma18ECOC.

Delegate coffee breaks 
Coffee is included in the conference registration. Coffee breaks will be held in the following places and times:

Lunch 
Lunch is NOT included in conference registration fees. There are several “Food Beverage selling points” and restaurants in the venue as well as inside the Exhibition Hall.

Exhibition 
The Exhibition will take place in Hall 3. The conference delegates have automatically access to the exhibition when displaying their badge.  For information about the exhibition, please visit: www.ecocexhibition.com

Post deadline Papers Proceedings
Post deadline papers will be published on Monday September 24 on the conference website and in the detailed programme on both the website and in the conference app.

They will also be announced on the Message board in Hall 9 .

Opening and Plenary Session

The plenary session is open to all members of the Conference and Exhibition and it wil be projected in all conference rooms.

Closing Ceremony
Thursday September 27, 15:30 – 16:00 (CEST)
Place: Hall 10, Giulia Room
The closing ceremony, including the Best Student Paper Award and Best Demo Award, is open to all members of the Conference and Exhibition.

Presenters must upload their presentations in the Speaker Room at least 1 hour prior to their talk. Please bring your presentations on a USB memory stick in MS-Power Point or Adobe PDF.
Please make sure that it fulfills the necessary requirements for the following software:
MS Office 2013 or later version (Word, Excel, PowerPoint), Windows Media Player, Adobe Acrobat Reader.

The standard format of the projectors in the conference rooms is 4:3. The default slide size in PowerPoint 2013 and in the latest version is widescreen (16:9). Thus it might be necessary to manually change the slide size from widescreen (16:9) to standard (4:3).

Please give the technical personnel any special instructions you may have when you are in the Speaker Room, not during your lecture.

Afterwards, the presentation will be sent to the room. Each room has a technician, who will assist and start the presentation for you. No use of personal laptops will be allowed. Note that there will be no presentation uploads in the conference rooms.

Posters
The poster area will be located in Hall 9. Poster presenting authors can display their poster during the day. Please remove your poster after your session, posters not withdrawn after the day will not be saved.

Poster Session 1: Wednesday September 26, 11:00 – 12:30 (CEST)
Poster Session 2: Thursday September 27, 11:00-12:30 (CEST)

Complimentary beverages will be served during the poster sessions.
We would like to call the attention of poster presenters to the following items:

  • Each poster board is marked with a poster ID-number. Please find your poster ID-number in the final Programme.
  • Authors can display their posters from 9:00 and must remove them no later than 17:00.
  • Authors are requested to use only the boards provided for their poster.
  • Authors are required to stand by their posters during their whole scheduled poster session time on Tuesday and Wednesday .
  • The maximum size of your poster should be 95cm (height) x 240cm (width).
  • Posters should be fixed to the bulletin board using the supports that will be provided on site.

Demo Session
The Demo area will be located in Hall 9, in the following date and time:

Tuesday September 25, 13:30 – 17:00 (CEST)

For each selected demo it will be provided:

  • One rectangular table 125cm (length) x 75cm (width)
  • Two chairs
  • One power outlet strip (4 outlets, 2kW max)
  • One bulletin board 95cm (height) x 240cm (width)
  • One 24-inch monitor (with one HDMI cable, one VGA cable)
  • Wi-Fi Internet connectivity (best effort)

Onsite Registration 
The Conference Registration desk is located in Hall 9. Registration badge for the Conference gives you full access to the Exhibition as well.

Cloakroom
There are cloakroom facilities in the Registration area, Hall 9. The organisers cannot be held responsible for damage to or loss of their personal property howsoever caused.

Other useful information
Messages
A message board is available in the Conference Hall 9  to leave messages to your colleagues and friends.

ATM Machine
The venue has an ATM Machine located near Hall 10. Card accepted: VISA, VISA Electron, V pay, Mastercard, Cirrus, American Express, Diners Club, Union Pay, JCB, Carta BCC, Pagobancomat.

First Aid 
There is a paramedic in the venue. In case of medical need, please come to the onsite Registration desk or go to the Exhibitor Service Desk and we will help you. If medical emergency occurs, please call 118.

No smoking policy
According to Italian law, smoking is prohibited inside all the buildings, venue, hotels, busses, etc. Smoking is only allowed at open air zones.

Lost-and-Found 
Lost-and-Found will be collected at the Registration desks in Hall 9.

Insurance
The Organisers cannot be held responsible for accidents to participants or for damage to or loss of their personal property howsoever caused.
